As German Research Center for Environmental Health, Helmholtz Zentrum München pursues the goal of developing personalized medical approaches for the prevention and therapy of major common diseases such as diabetes mellitus, allergies and lung diseases. To achieve this, it investigates the interaction of genetics, environmental factors and lifestyle.

The 'Helmholtz Artificial Intelligence Cooperation Unit' (HAICU) will be the unique chance to reach an international leadership position in applied AI by combining AI-based analytics with Helmholtz’ unique research questions and data sets.HAICU will significantly enrich the Helmholtz Association in terms of applied AI. It will bring together scientists from all centers, provide support in their needs and thereby will foster transdisciplinary and ground-breaking research.

HAICU will be structured in a wheel-and-spoke model, with an interdisciplinary international visible central unit located at Helmholtz Zentrum München and strong local units at five other Helmholtz centers. For the establishment, coordination and implementation of HAICU at our center we are searching for an administrative assistant.

Administrative assistant for the Central unit of the Helmholtz Artificial Intelligence Cooperation Unit (f/m/d) 2019/0162

You will

  • support the Head of HAICU Central and the scientific management of HAICU Central in the setup of HAICU Central, in selection processes, recruiting, contract setup, the enrollment and on-boarding of HAICU Central staff
  • work independently in office organization and the execute general secretarial tasks
  • communicate with international candidates for HAICU Central (setup of skype conferences and interviews)
  • give support in the organization and hosting of guest professors and other guests, scientific events and conferences for HAICU Central
  • support the public outreach of HAICU Central (website, social media)

You have

  • a successfully completed commercial apprenticeship or training as a multilingual secretary
  • experience as an office clerk, in office communication or a similar assistant function (min. 2 years)
  • experience in handling of MS-Office
  • experience in event organization, i.e. recruiting workshops, hackathons or conferences for HAICU Central
  • experience in the establishment of a new institution and/or experience with project management, budget controlling and reporting would be an advantage
  • a fluent written and spoken German and English
  • good organizational, communication and team skills with high reliability
